Who We’re Looking For

We are seeking motivated, curious, and committed individuals eager to gain hands-on experience and work as part of an international team.
You’ll fit right in if you:

  • Have fluency in English at B2 level or higher; Polish language skills are a strong asset.
  • Have completed at least one year of undergraduate studies in fields such as international relations, law, economics, journalism, marketing, IT, or related disciplines.
  • Are proficient in MS Office and Google Workspace; additional skills in graphic design or website management are a plus.
  • Have a genuine interest in international security, defense policy, and global affairs.
  • Possess strong communication and organizational skills, combined with a proactive and responsible attitude.
  • Stay calm and effective in fast-paced and high-pressure situations.
  • Communicate clearly and confidently.
  • Are reliable and take ownership of your responsibilities.
  • Enjoy working with people from diverse cultural and professional backgrounds.

 

 As a Warsaw Security Forum volunteer, please keep in mind that you will need to be available in Warsaw for the duration of the forum from October 11th to 13th, 2026, and participate in the preparatory training sessions held throughout September. 

Find Your Role

Participant Assistant

You’re the first impression. You will verify participants’ IDs, issue personalized badges, and assist with attendee questions. A good understanding of the agenda and venue layout is key to providing effective support.

Proficiency in both Polish and English required.

Speaker Room Assistant

You keep things running smoothly behind the scenes — panels on time, rooms organized, speakers supported etc. Attention to detail and calm under pressure are essential in this role. 

 You work closely with high-level guests, making sure their experience is seamless, comfortable, and on schedule. 

VIP Liaison Officer

Your primary responsibility is to accompany and support an assigned VIP delegation throughout the conference. You will ensure that their agenda runs smoothly and assist them in navigating the venue

Airport & Hospitality

As Logistics Volunteers, you will be responsible for the airport and hospitality arrangements for our speakers and VIPs. This is a crucial role because your impression will reflect on us, the hosts of WSF. For many speakers, you will be the first point of contact at the airport, so remember that first impressions matter!

Bilateral Meetings Assistant

Bilateral Meetings are high-level meetings for VIP guests, including Ministers, Prime Ministers, important business partners, and others. These are the only meetings that will have additional security provided by State Protection Services or gendarmerie personnel. 

Media & Social media Assistant

The tasks during the Warsaw Security Forum range from drafting social media posts (through Twitter, Linekdin, Instagram, Facebook), creating visual content, website managment, maintaining VIPs schedule and more, live-notetaking 

Restaurant & Private Dining Room

You will support the Restaurant Coordinators during lunch breaks. Your task is to politely greet guests and verify their access credentials. Efficiently managing the entry flow ensures that everyone has a comfortable and timely dining experience.
During lunch hours, high-level meetings take place in the Private Dining Room.  

Closed Formats Assistant

You are the invisible force that ensures every session is flawless. From managing room logistics to providing direct support for world-class speakers, your ability to remain poised under pressure is what keeps the Forum on track. You bridge the gap between complex schedules and a seamless guest experience.

Onboarding & pre-event training – comprehensive preparation sessions to help you understand your role, responsibilities, and the flow of the event.

Meet-the-experts sessions before the Forum – exclusive opportunities to engage with professionals and gain insights into international security and event operations.

On-site support from coordinators at all times – dedicated team leads available throughout the Forum to guide you, assist with tasks, and ensure a smooth experience.
